Grocery purchase orders that match what the truck brought.

Order from your vendors, receive part of a delivery, pay the invoice later. Stock only moves when goods arrive, so the count on screen matches the shelf.

Delivery truck with a clipboard checklist

One order, start to finish.

  1. Requisition

A department lead asks for more stock: 6 cases of masa, 2 sacks of jasmine rice.

  2. Ordered

You turn it into a purchase order and print or send it to the vendor. Stock does not move yet.

  3. Partial

The truck brings 4 of the 6 cases. You receive 4; the PO stays open for the rest.

  4. Completed

The last 2 cases arrive. The PO closes and the stock count matches the shelf.

  5. Paid

Record the supplier payment, in full or in parts. The vendor balance updates.

Status: Requisition

Set it up once.

  1. Step 1Turn on purchase orders

In Business settings → Purchase, enable purchase orders. Requisitions can be turned on too.

  2. Step 2Add your vendors

Supplier name, contact, payment terms. Import them from a spreadsheet if you have many.

  3. Step 3Order in the unit you buy

Order by the case, sack or box. The POS converts to the units you sell when stock arrives.

  4. Step 4Receive against the PO

When goods arrive, pick the PO in Add purchase. Prices, tax and discounts load; adjust what actually came.

Vendors you actually have.

Ethnic markets buy from many small distributors, not one wholesaler. GetGroceryPOS keeps them apart.

8 questions on the shelf

  1. How do purchase orders work in a POS?

A purchase order is your request to a vendor: items, quantities, prices and terms. In GetGroceryPOS it does not change stock. When goods arrive you create a purchase from the PO, and only then the stock goes up. The PO shows Ordered, Partial or Completed.

  2. Can I receive part of an order?

Yes. Receive what came; the PO moves to Partial and stays open for the rest.

  3. Can I order by the case and sell by the unit?

Yes. With case and unit pricing, a case of 24 becomes 24 units in stock when you receive it.

  4. How do I record free goods from a supplier?

Add bonus or free items on the purchase with a zero cost, so stock goes up without changing what you owe.

  5. Can I pay suppliers in parts?

Yes. Record each payment against the purchase. The supplier balance shows what is still due.

  6. What is a purchase requisition?

An internal request for stock, usually from a department lead, that the owner or buyer approves before it becomes a PO.

  7. Does it suggest what to reorder?

Stock reports show what is low so you can build the PO from them. Set alert quantities on fast movers like tortillas, milk and rice.

  8. Can I print a PO in another language?

The PO prints with the product names you entered, in any script, so a Korean or Chinese vendor can read item names their way.
