Add your store, registers and staff logins

Add each store location and register, then give every cashier their own login, role and screen language so sales and cash stay separate.

After your account and business settings, the next step is to describe your store: where it is, how many checkout lanes it has and who works there. This takes about ten minutes for a single store.

Locations: one per store

A location is a physical store, or a separate stock area you want to track on its own. Your first location is created when you set up the business.

  1. Open Settings → Business locations.
  2. Check the name, address and phone number. These can print on receipts.
  3. If you run a second store, click Add and create it. Each location keeps its own stock, sales and register sessions.
  4. Choose the receipt (invoice) layout for each location, so the Garden Grove store can print in Vietnamese while the Houston store prints in Spanish.

Moving stock between your own stores is done with stock transfers, so you never sell the same case twice.

Registers: one per checkout lane

Each checkout lane, or each device that takes payment, works as a register. Name them so a manager can read the end-of-day report at a glance: “Lane 1”, “Lane 2”, “Deli counter”, “Back office”.

When a cashier starts their shift they open the register with a starting cash amount. When they finish they close it and count the drawer. The closing report shows expected cash, counted cash and the difference.

Your plan includes a set number of registers per store. If you need more lanes, see pricing for the extra-register price.

Roles: decide who can do what

Before you add people, decide what each type of staff should be able to do. A typical grocery has three or four roles:

Role Usually allowed Usually blocked
Cashier Sell, take payments, print receipts, look up prices Refunds above a limit, purchase prices, settings, reports
Shift manager Everything a cashier can do, plus refunds, voids, closing registers Settings, staff management
Stock clerk Receive purchases, stock adjustments, labels Selling, cash, reports
Owner / admin Everything Nothing
  1. Open Users → Roles.
  2. Click Add, name the role, and tick the permissions it needs.
  3. Save, and repeat for each role.

Tip: hide purchase prices from cashiers. Your margins are your business.

Users: one login per person

  1. Open Users and click Add.
  2. Enter the person’s name and a username or email they will log in with.
  3. Set a starting password and ask them to change it.
  4. Assign the role and the location or locations they work at.
  5. Optionally set a sales commission or a maximum discount they can give.

When someone leaves, deactivate their user the same day. Their past sales stay in the reports.

Screen language for each person

Each user picks their own interface language under their profile, for example English, Spanish or Arabic. Chinese, Vietnamese, Korean and Urdu screens are set up as custom translations by our team during onboarding. Details are in language and custom translations.

Common problems

A cashier can see purchase prices. Their role has the permission to view purchase price. Edit the role and remove it.

A user cannot log in at the second store. They are only assigned to the first location. Edit the user and add the second location.

The register closing report shows a difference every day. Check whether cashiers are giving change from a different drawer or paying small expenses from the till. Record expenses in the software so they appear on the report.

Staff forget their passwords. The admin can reset any user’s password from the users screen.

Questions about this step

4 questions on the shelf

  1. Can two cashiers share one login?

They can, but they should not. Separate logins mean each sale, refund and cash count is linked to the person who did it, which protects honest staff when the drawer is short.

  2. Can a cashier see only the POS screen and not reports?

Yes. Create a role that allows selling and blocks reports, purchase prices and settings, then assign it to cashiers.

  3. Can each cashier use a different language?

Yes. Language is chosen per user, so one cashier can work in Spanish while another works in English or Arabic on the same store.

  4. How many registers can I run?

It depends on your plan. Each plan includes a number of registers per store, and you can add more. See the pricing page.
